There are seven routes to the guest list. All of them end up in the same place, so you always work from one overview.
| Route | For whom | How it starts |
|---|---|---|
| Artist briefing | Guests of an artist | The artist fills in their guest list |
| Public form | Anyone you send the link to | You share the link or embed it on your site |
| Relation portal | Sponsors, labels, agencies | You create a relation and send the link |
| Vendor portal | Suppliers | You create a vendor; accreditation sits with their other requests |
| Partner portal | Crew suppliers | The partner fills in their own people |
| Hand-out | Guests bringing guests | You give someone an allowance in their briefing |
| Manually or by file | Everything else | Add guest or a CSV import on the guest list |
The public form
Settings → Accreditation → Public guest list form. You choose:
- Which types people can request, and how many per day.
- A deadline after which the form closes automatically.
- Extra questions: free text, a dropdown or multiple choice. The answers appear with the request on the guest list.
- What one extra person means: either extra passes on the same name (copies), or you ask for each extra person's name.
- Optional fields: company, remarks, showing the location.
- A note per type, shown behind a small (i): useful for "crew passes are for build-up only".
Share the link, or put the form on your own website.
Relations
Accreditation → Relations. Create a relation, set their limits per day and type, and send them the link. Two handy switches: auto-approve (their requests go straight through) and auto-send briefing (their guests immediately get their link).
Suppliers and partners
- A vendor gets one portal containing materials, accommodation, catering and their own accreditations.
- A partner is a supplier of people: you assign them jobs, they fill in who is coming. Those people flow straight into your crew planning.
