Working the guest list

The Guest list is where everything comes together. Two tabs:

  • List: everyone who is approved, per day.
  • Requests: everything waiting for you, grouped by where it came from (artists, guest form, media, relations, vendors, invites). The pencil on a row corrects the name and email; on a guest form request it also lets you change the type before you approve: another accreditation type for an accreditation request, another parking type for a parking request. On an accreditation request from the guest form you can also add parking tickets there: they appear as a parking request of their own right under it, which you approve or reject separately. Parking the person already asked for is filled in; to take parking away, reject that parking request.

Approving and rejecting

Approve or reject per row, or tick several at once. On approval a lot happens automatically:

  • The person gets their own briefing and ticket link.
  • Any standard parking passes are added.
  • If it is set up, the briefing email goes out straight away.
  • If Weeztix is connected and this type is linked, a real ticket is created there.

Rejected requests stay visible so the requester can see what happened, and can submit again.

Reading the list

  • Via: who this person is on the list through: an artist, a relation, or the person who invited them.
  • +1: someone brought along by another guest.
  • Status dots: whether the briefing was sent, and whether it has been opened.
  • Filters and search: by day, type, status, or plain text.
  • Hand-outs: extra columns showing who is holding a radio or a key.

Editing

Open a row to change a name or email, move someone to another day or type, add or remove parking, or give them an invite allowance: "this person may bring 2 extra guests". They then see a guest list table in their own briefing, exactly like an artist gets.

Deadlines

  • Guest list deadline (Settings): after this moment artists can no longer edit their list.
  • Form deadline: closes the public form.
  • Per list: extra guest list tables can have their own, earlier deadline.
  • One artist still needs to change something? Give that artist a deadline bypass.

Auto-approve

Settings → Mailing & Approval. Per accreditation type you decide whether requests from artists and from the public form are approved automatically. Ideal for types you always say yes to, crew for example, while you keep judging VIP by hand.

Adding people yourself

  • Add guest for a single person.
  • CSV import for a whole list at once.
  • Send an invitation to have someone fill in their own details.
