Jobs and people
Crew & Production → Crew & planning. Create crew jobs per day (Bar, Security, Stage, Build-up) and add people to them. A person can hold several jobs.
Per job you can add a note and an image: instructions people see in their briefing.
Shifts
Give each person their shift per job: a start and end time. Doesn't the end time have to be exact? Add a until time and the planning shows a striped tail: "ends between 23:00 and 01:00".
Later you register the actual times worked, including breaks, and export them.
Managers
- General manager: sees the whole planning of the event.
- Crew manager: sees the planning of their own job.
- Stage manager: sees the programme of their stage. Mark per day which job is the stage manager role (Settings → Operations).
Crew sign-up
Let people sign themselves up: Settings → Operations → Crew sign-up. You open the jobs you want to fill, optionally with shifts to choose from and a limit per shift. Share the link, and people pick per day what they want to do.
Everything comes in as a request. On approval the person becomes a real crew member, with their assignment and shift straight in the planning. Wrong choice? Move them to another job or shift on the same day.
Availability, hours and expenses
Optional (Settings → Operations → Crew features):
- Availability: crew fill in per day whether they can work; you see the grid.
- Hours: crew submit their worked times from their briefing.
- Expenses: travel, parking, food, other, with a receipt. You approve and export.
Hand-outs
Crew & Production → Hand-outs. Register up to five items you lend out: radios, keys, vests, lanyards. Per day you set the stock and the pick-up and return instructions.
Assign items to people on the guest list; they see it in their briefing. At the event you open the hand-out sheet, a link that works without a login, and the desk crew ticks items out and back in, with room for a serial number.
